Migrating Clients to the Portal Part 2

Okay, now in this next part, we are going to go in and finalize the company by adding in the contacts that we just set up. So it spit us out here on the company's page. So let's click the company that we're working with here and you can see the contacts have been added here, but we need to do a little bit extra. So go up to the top right hand corner and click company. And in this example, the primary contact and the billing contact have already been added. And that's because my software crashed. And once I've added them, they're there. So in reality, this will be blank and you'll want to click on it and choose one of the contacts. And this will be blank and you'll want to choose one of the contacts. And you also want to go down here to financials and, and you'll want to choose the person who will receive the invoices. So these have already been put in here because like I said, my software crashed and I had already put them in there, but normally these will be left blank. So you'll come in through here and you'll add the contacts you'll need to choose one. I chose Laura because she's the person right here as the primary contact in FreshBooks. If you get this wrong, we can change it. I can go in here and change it to Brian instead, but I think it's Laura. There was a client that I set up recently where I had the financials wrong. They were being sent to the wrong person. And so I could get rid of that person and add Brian instead if I, if I needed to do that. But in this case, I think Laura is our, is the proper contact. So we're going to add in the contact. So either way, to make it clear, you'll want to put in the primary contact, the billing contact, and the financials. This will be who receives the invoices here. And once you've done that, you can choose Save in the bottom right hand corner. Okay, now it's time to create the podcast. So for this let's again it's put us right here with the companies on the CRM. So let's click the company that we just had open and this time we're going to scroll to the bottom and you'll see a section down here called Associated Podcasts. And there's nothing here. So let's go over to the right hand side. You'll see a link that says add podcast. And now we have a dialog box that comes up where we can add the podcast. Now, the podcast image, you might be able to get that from Basecamp. So if we go over here to the podcast, we have the base files section. You'll see the image right here. You can download that to your computer. And then once you've done that, you can upload it here. I'm going to drag and drop it in. You won't be able to see this because you can't see this screen, but I'm going to drop it in right there. And the artwork will save. Once we save this box for the podcast, it's Agile Mentors Podcast. Of course, I could copy and paste that in as well. And now this is where we need your calendar. We've got the frequency and the days. And so I'm going to pull up Apple Podcasts here. And I see that they're publishing episodes, what looks to be weekly. We've got January 8th, 15th, 22nd and 29th. And as I look at my calendar off screen, I see that those indeed are weekly, and they are Wednesday. Of course, not every podcast is as regular as that, so you'll have to make the best judgment you can. But in this case, I'm going to go weekly and Wednesday. Publishing notes. If we have some login credentials that are over here in Basecamp, then you would save those in the publishing notes section. Skip over podcast members, and then for select client, we're going to add in both Laura and Brian. And then for tags, this is where we'll put in a tag that represents the services they're receiving. So again, over here in Basecamp, go to the main page for the podcast and you can see these services right there. And so I will give you a list of the. The tags that you can use. We want all the tags to be consistent. I can tell you this one is Pro Audio Edit. And once we've done that, we can hit save. And now we have saved this podcast. You can see it's added right down here. And so now it's time to go in and add team members to the podcast. So to do that, we're going to go up to the top and go to admin and CRM. And this time we're going to go to team members. And we need to do this for the. For every team member, including the project manager. So if we go over here to Basecamp, we can see that Mike is a part of this podcast and the project manager is Karen. You can also get the project manager from the Slack, where they notified us of their podcasts. So I'm going to scroll down here and go to the next page until I find Karen. Here we go. I'm going to click on her profile and then go to the top right corner and say edit member. I go to Associated Podcasts and I say I just start typing it in and then it will show up right there. I can click on it. That adds it right here, as you can see. And then I'll scroll to the bottom right and click Save. And then that takes me back up to the CRM. I go back over to the team members section and this time I'm going to find Mike. Looks like he's on page three. I pull up his profile, edit member, and then again start typing. You'll see Agile Mentors pull up, click on it, and it adds it to his list and then save. Now we have saved members of our team to that podcast. In fact, if I go back over here to the CRM and pull up the podcast, you'll see that Karen and Mike have now been added. And if I edit that podcast, you'll see they were added here where previously that was blank.
